Registration

  1. The Registration of students with various examination bodies will be the responsibility of the Administrator.
  2. The Administrator will announce the Registration Dates for Membership/ Examination at least 3 months before the Deadline wherever possible.
  3. The Information should be pasted on the Notice Board and a copy of the same shall be passed to all Supervisors for Studies.
  4. The Supervisor for Studies shall be responsible for getting the forms etc. completed and advice the students on the necessary fees to be paid.
  5. The students should be advised to pay the fees directly to the Examination bodies or pay the fees at the College reception and obtain a receipt against payment.
  6. The Supervisor of Studies should collect the completed forms etc. with reference of payment and deposit with the Administration at least 15 days before the Deadline.
  7. The Administrator after checking all the forms should deposit with the appropriate Examination Bodies.

Information on Examination

  1. The Administrator is responsible for providing all the Information regarding Timetable of examinations etc.
  2. The Administrator shall co-ordinate with the Examination bodies and finalise the Timetable wherever necessary.
  3. The Timetable should be pasted on the Notice board at least 3 months prior to the Examination wherever possible.
  4. A copy of the same should be passed to all Supervisor of Studies.

Timetable Variation

  1. The published Timetable of the Awarding Bodies must be strictly followed.
  2. Timetable variations are not permitted where there is a clash between papers of different Awarding Bodies in the same subject or any other.
  3. Timetable variations are not permitted where a timetabled examination clashes with work experience, a school function or closure, participation in sporting events below international level, or holidays.

Delivery

Receipt and Safe Custody of Question Papers & Other Examination Materials

  1. Question paper packets and examination materials should be carefully checked on receipt and the Awarding Body notified immediately if there are any problems, e.g.
    1. If there are any discrepancies between the material received and the advice/delivery or despatched note.
    2. If the material received appears not to meet the College’s requirements
    3. If the material has been significantly damaged in transit
    4. If there appears to have been any possible breach of security whilst the material was in transit.
  1. It is advisable that question paper packets are checked against the timetable and arranged in timetable order so as to reduce the possibility of opening a packet of question papers at the wrong time.
  2. Question papers must be locked away in a place of high security, ideally in a strong safe. If a safe is not available or is of insufficient capacity, a non-portable, lockable, metal cabinet with extra reinforcement or other similar container must be used. The safe or container must be in a securely locked room with within a fixed building with access restricted to 2 or 3 key-holders. The room should have robust walls, floor and ceiling.
  3. The Awarding Body must be informed immediately if the security of the question papers or confidential ancillary instructions is put at risk by fire, theft, loss, damage, un-authorised disclosure or any other circumstances.
  4. The packets of question papers and other examination materials must not be opened until the time appointed for the examination concerned, except where an Awarding Body instructs otherwise.
  5. Question papers should remain in their sealed packets to be opened in the presence of candidates where possible. Where the College is using a number of rooms for the same examination, it will be permissible to open packets of question papers in advance of the examination in order to make them up into appropriately sized sets for the different rooms. If some packets are opened in advance of the examination this must be kept to a minimum and must only be done on the day of the examination.Under no circumstances may packets be opened on a previous day.
  6. Where confidential materials such as instructions for practical examinations are required to be opened in advance of the examination, strict precautions must be taken to safeguard them after they have been opened; they must not be removed from the Centre and when not in use must be kept secure under the conditions described in paragraph.
  7. The Administrator must ensure that a system for recording the removal and return of any materials from the main question paper store is operated throughout the time such material is confidential.
  8. Where confidential material is pre-recorded on tapes or other media, arrangements must be made, prior to the examination, for such material to be tested where instructed by the Awarding Body and any deficiencies notified immediately to the Awarding Body.
  9. Examination stationery and materials must be stored securely at all times so that no unauthorised person has access to them.

Procedures during Examination

Examination must be properly conducted at all times and particular attention must be paid to the following:

  1. An Invigilator will be appointed who is responsible for all aspects of the conduct of the examinations.
  2. Candidates must be seated in such a way that there is no possibility of interference or collusion and to conform to the Examination body written examination requirements.
  3. Any course notes must be out of sights of candidates.
  4. All candidates must have appropriate pens, pencils etc. as listed on the test paper.
  5. The policies & procedures laid by the Examination body should be read and made understood to the candidate.
  6. Proper attendance record to be submitted to the College.
  7. To ensure that Student who leaves an examination room early does not have an opportunity to pass information to another student who is arriving late, no student may be admitted to an examination room after a student has left.
  8. All policies and procedures laid down by the Examination Bodies should be strictly adhered to.

Procedures after Examination

  1. At the conclusion of the examination all the question papers and answer sheets will be collected by the invigilator. The Invigilator must not discuss with any candidates the answer or any other detail relating to that test.
  2. All completed answer sheets (together with all unused/used papers) must be sealed in the appropriate form and passed on to the Supervisor of examinations (Administrator).
  3. The Supervisor of Examinations after collecting the answer sheets should re- seal them as desired by the examination body and despatch to the appropriate address.
  4. A proper record of the despatches should be made and stored for any future reference.
